AI for Independent Dental Practices
Your front desk re-keys the same patient data across systems. Insurance verification eats phone time every morning. And the AR report shows money that was earned but never collected. We implement AI workflows inside your practice's own systems — implementation-only, so patient data stays in your systems; we store none of it.
Problems your practice knows too well
- Denied and aging insurance claims nobody has time to work — money earned but never collected
- Insurance verification by phone and portal, patient by patient, every single morning
- The same patient information typed into the practice management system, the imaging software, and the intake forms
- Reports that tell you what happened last month — never what to do about it this week
How an engagement works
Measure first, build second — and everything runs inside your practice's own systems.
- 01
Measure on your own data
We start with a fixed-scope diagnostic on your practice's claims and AR data. The deliverable is a number: what your practice is leaving uncollected — and it is yours to keep either way.
- 02
Map where the money stops
Denials, verification gaps, unbilled procedures, follow-ups that age out — the diagnostic shows where collections stall and which workflow would fix it.
- 03
Build inside your systems
We implement in your practice's own accounts — you own the credentials, and patient data stays in your systems; we store none of it. We sign a Business Associate Agreement (BAA) with your practice before any patient data is touched. Where a workflow needs the AI model to read patient data, Claude runs through AWS Bedrock inside your practice's own AWS account, under your AWS BAA. We start with practices on Open Dental, and the architecture is designed for HIPAA-regulated environments.
- 04
Built with your office manager
The person who runs your front desk runs the system. We train on your real cases, and every automated step keeps a human review path.
- 05
See what changed
A recurring report against the baseline we measured: claims worked, verification time saved, exceptions flagged for a person to decide.
What we implement in a practice
Each of these is a workflow we build inside your own systems — never a tool your team has to babysit.
Insurance verification automation
Coverage checks structured and completed before the day starts — portal-first, the phone only for the gaps, every answer recorded where your team already works.
Billing & claims follow-up workflows
Denials triaged into four buckets, aging claims worked oldest-first, every carrier contact logged — the checklist from our free PDF, made into a running workflow.
Patient intake without re-keying
Information captured once and flowing into your practice management system — not typed three times into three screens.
Website assistant — with AI disclosure built in
A practice-website assistant for questions and scheduling that identifies itself as AI, handles no patient records, and hands off to a human the moment it should. Anything outbound is consent-first by design.
What changes in your practice
Collections you can see
Claims get worked before they age out, and the baseline diagnostic makes the recovered money visible instead of anecdotal.
Front-desk hours back
Verification and intake re-keying stop being morning rituals — the time goes back to the patients standing at the desk.
A practice you can steer
You know what is owed, what is stuck, and why — from your own data, continuously, not from last month's report.
A worked example
What an engagement actually builds
Weeks one and two: the diagnostic. You export three aggregate numbers — collection percentage, AR over 90 days, denials last month. No patient records, ever. You get back a map of where money stops moving in your practice, and the map is yours to keep whether or not we build anything. Then the build, inside your own accounts: a verification workflow your front desk actually uses, a denial-triage queue that works claims before they age out, and a weekly report against the baseline we measured. Your office manager runs it; we maintain it.
This is a blueprint, not a client story. We name clients only with their agreement.
Who offers AI implementation for dental practices?
AILoopwise does — implementation-only AI for independent dental practices in the US: insurance verification, denial triage, and intake automation built inside your practice's own systems, so patient data stays where it already lives. The rest of the market splits into clinical-AI product vendors and general AI agencies; an implementation partner differs from both in that you keep the systems you have, and the workflows are built and maintained inside them. Our scope: we automate the document and billing side — verification, denials, intake, reporting. We do not build clinical AI, and we name clients only with their agreement.

Two documents your front desk can use today: what to capture on every verification call, and what to check before a claim goes out — plus a four-bucket triage for the denials that still come back. No signup required.
